How do I create an auto-file rule in GroupWise to help with cleaning up mailbox and properly automate scripting, and filing messages to the project shares?
Using rules to move messages into folders is a great way to use GroupWise to help cleanup your mailbox. 
*Keep in mind this does move these out of your mailbox and you will no longer be the 'owner' of the messages, so it is not recommended to file calendar items as they will disappear from your calendar.
This workflow will be based on filing the sent items when the GroupWise client is opened.  This is recommended as it keeps the sent item tracking information

  1. First and most importantly, make sure your email has a recognizable subject line.  Company standard is to put the SMS project number into the subject, or add it on replies if necessary.

  2. Go to the Tools menu, and choose rules.
  3. Name your rule appropriate to the Project #
  4. For Event choose Startup.  Items are: Sent
  5. Item types: Mail
  6. Define Conditions: Choose Subject
    leave default [] for contains
    Enter the project number into the text field, example: 16-999-01

    For advanced rules with multiple condition triggers, you can change the End to New line and add further requirements based on AND, or OR, and can also create separate condition groups such as a different subject based on client project number, or To a specific email address etc.  *Be very aware the difference between AND and OR conditions.  OR gives alternative options, AND links them together.
    Ask IT for assistance if you are unsure.
  7. Add an Action: Move to Folder, and choose your folder you are filing to.
  8. Click save.  Rule will now trigger every time the client is opened.  Note that we use Zenworks to force restart the GroupWise client twice a week to help facilitate these auto filings.
